The service

Commercial HVAC lead generation, run as managed outbound

Published by B2B Lead Growth · Last updated: September 17, 2026

Commercial HVAC lead generation is finding the businesses that buy commercial HVAC service, contacting the right person at each, and turning genuine interest into an opportunity a contractor’s team can act on. B2B Lead Growth runs it as a managed outbound service.

It is for established HVAC contractors that already sell and complete commercial work. We find the accounts, contact the right people in your name, and hand each opportunity to your team at one of three levels of responsibility. Your team always does the technical evaluation, the estimate and the close.

It is not a lead marketplace, and it is not residential. Everyone we contact is a business. We sell no leads, and we never contact homeowners.

Who it is for

B2B Lead Growth is for an established HVAC contractor that already sells and completes commercial work, has someone who quotes and wins those bids, has room to take on more accounts, and has no consistent way to find target accounts and follow up with them. A residential-only shop is not a fit.
  • Established HVAC contractors that already sell and complete commercial work — service, maintenance, repair or replacement — alongside residential or instead of it
  • Someone on the team who quotes commercial bids and wins them
  • Room to take on more commercial accounts
  • Commercial work that arrives by referral, repeat and word of mouth, with no consistent way to find new accounts and follow up with them
  • A commercial buyer you can describe: property managers, building owners, facility teams or multi-site operators in the areas you serve
  • Anywhere in the United States — the work is done remotely, from public sources, in your own service area

Who it is not for

The fit check gives these answers on the spot, before anyone spends anything. None of them is a judgement on the business; each is a reason this particular service would not earn its fee there.
  • Residential-only shops — we research commercial accounts, and a shop with no commercial work has no account base for us to build
  • Anyone wanting to buy homeowner leads — we are not a lead seller, and we never contact homeowners
  • Companies at capacity year-round, or not looking to add accounts
  • Companies already running an in-house outbound or BDR team — you already own what we sell
  • Solo operators — a commercial account arrives with response-time expectations one truck cannot hold
  • Companies with nobody to quote and win commercial work — we prepare the opportunity to the level you chose; the technical evaluation, the estimate and the close stay yours
  • Anyone who wants us to inspect, specify, estimate, price or close — that work is the contractor's, on every plan
  • Anyone wanting thousands of unverified addresses blasted overnight
  • Anyone expecting guaranteed jobs, revenue, site visits, or a set number of appointments
  • Anyone needing published case studies before starting — there are none yet

The funnel: from your capacity to an opportunity your team can act on

Every plan runs the same six stages. What happens at the last one is the only thing the plans change.

  1. 1. Your capacity and capabilitiesThe work you do, where you do it, the accounts you want and the ones you would turn down. Everything downstream is built from this, so nothing is researched until you have corrected it.
  2. 2. Suitable commercial accountsBusinesses in your service area that fit the profile — property and facility managers, building owners, multi-site operators, offices, warehouses, schools, healthcare, restaurants, retail — found from public sources, each with a cited reason.
  3. 3. Relevant contactsThe named person at each account who can take a vendor decision for the building or the portfolio, or who routes one. A general inbox is never treated as a decision-maker.
  4. 4. OutreachA message written for that account, tied to its cited reason, sent in your name from your own domain and mailbox.
  5. 5. Genuine engagementEvery reply is read the same day. Genuine interest is confirmed by a person, not a keyword match, and an opt-out is suppressed in code immediately.
  6. 6. Plan-specific handlingFrom here the plan you chose decides what we do: hand over at interest, screen and organize a structured handoff, or qualify and prepare the opportunity.

Then the loop closes:

  1. Outcome feedbackYou tell us what happened after the handoff — a meeting, an estimate, a bid, won, lost or stalled — in your own words.
  2. Targeting and qualification learningWhat you report changes which accounts we pursue next and what we ask before handing one over. A change to targeting is one you have seen and approved.

Three levels of responsibility

These are three different jobs, not three sizes of one job. You choose how far we carry an opportunity before your team takes it.

The three B2B Lead Growth plans: price, what we are responsible for, what happens after genuine interest, and what reaches the contractor
PlanWhat we are responsible forAfter genuine interestWhat reaches you
Prospecting$750/moWe find and contact suitable commercial accounts. You take over at interest.interest → contractor takeoverInterest handoff
Managed Pipeline$1,500/moWe run outreach and follow-up, screen genuine interest, and organize the handoff.interest → screening and follow-up → organized handoff → contractor sales processStructured handoff (screened interest)
Qualified Opportunity Engine$2,500/moWe qualify the opportunity, gather the relevant context, coordinate the next step or site visit, and prepare your team to estimate and close.interest → qualification → context gathering → next-step or site-visit coordination where appropriate → prepared opportunity handoff → contractor estimating and closingQualified Opportunity handoff

No account is forced through the top plan’s workflow. If you are on Prospecting, an interested prospect is handed to you as it arrives and that is the end of our part. See who owns what on each plan, line by line.

Prospecting, pipeline management and qualification are different jobs

The phrases people search for do not all describe the same work, and they do not all describe every plan.

  • Commercial HVAC prospecting, target-account research, and outreach to property managers, facility managers and other commercial decision-makers are part of every plan. Finding the account, choosing the contact and making the first contact in your name is the base of all three.
  • Managed follow-up and an organized commercial HVAC sales pipeline start at Managed Pipeline. That plan runs the follow-up sequence, screens each interested reply, and keeps every open conversation tracked with a status, an owner and a next step.
  • Commercial HVAC opportunity qualification, and the next-step or site-visit coordination that some vendors call appointment setting are Qualified Opportunity Engine work, and only that plan’s.
  • Maintenance-agreement prospecting is a targeting choice rather than a plan: if service agreements are the work you want more of, the account profile is built around the buildings and portfolios that buy them.

How the work is measured

We measure the work by interested prospects — a decision-maker at a commercial account that fits your profile who replied with genuine interest, confirmed by a person — always shown against the accounts contacted and the messages sent to get there. It is a count of what happened, not a commitment to a number.

Each plan also counts what it hands over, under its own name: interested prospects handed off, structured handoffs, or qualified opportunities. A lower plan’s number is never labelled with a higher plan’s noun. The five terms are defined on the how-it-works page.

Where our work stops and yours starts

B2B Lead Growth prepares the opportunity. The HVAC contractor estimates and closes it.

That holds on every plan. We do not:

  • perform technical HVAC inspections
  • engineer solutions or specify equipment
  • diagnose equipment
  • determine final project scope
  • create binding HVAC estimates or quotes
  • set final pricing
  • negotiate technical or contract terms
  • guarantee contracts, appointments, site visits, qualified opportunities, revenue or sales
  • replace the contractor's estimator or salesperson in closing

What makes this different

We are not a lead seller
Nobody else is being sold the same account. We do not buy, sell, resell, or broker leads, shared or exclusive, so you are never bidding against other contractors for one form fill. There is no per-lead price and no per-opportunity fee: a flat monthly fee buys the level of responsibility you chose, on the account types and service area you approve.
The line between our work and yours is printed on the plan
Prospecting hands over at first interest. Managed Pipeline hands over screened interest, with a structured handoff. Qualified Opportunity Engine hands over a qualified opportunity, prepared for your estimator. A lower plan never quietly includes a higher plan's work, and on every plan the technical evaluation, the estimate, the price and the close are yours.
One HVAC company per service area — and what that is worth
We run a conflict check before accepting anyone, and we work one HVAC company per service area: while we work for you, we will not take on a competing shop in your territory. The reason is practical — the property managers and facility teams we would write to for you are the same ones a competitor would want. Be clear on what this is, though. As standard it is an operating practice, not a contractual right: the agreement is non-exclusive by default. If you want it enforceable, contracted per-metro exclusivity is a priced add-on on the order form, and we will quote it before you sign rather than spring it on a call.
Every account is researched from public sources, and cited — and we never contact homeowners
The businesses we write to in your name are found the checkable way: a property manager's own portfolio page, a posted renovation, a permit filing, a facilities team named on a company site. Every account carries the source link and the reason it was picked; no citation, no contact. Homeowners are never on the list — not from research, not from a purchased file, not at any price.
It goes out from your name, inside an envelope you signed off
Messages send from your own domain and mailbox, so the people we write to see the company they can look up, and you can read the sent folder yourself. Before anything sends you confirm the account categories, the service area, the exclusions, the claims we may make and the sending identity. We then work inside that envelope; a new category, area or claim needs a new sign-off, and you can pause at any time.

How this differs from the other ways to buy HVAC growth

These are differences in kind, not a ranking. We have no client results yet, so we make no claim to outperform any of them — and the last column says when the other thing is the right tool.

How B2B Lead Growth differs from residential lead marketplaces, homeowner lead sellers, general cold-email agencies, PPC agencies, directories, call centers and outsourced closers
AlternativeWhat it isHow this service differsWhen the alternative fits
Residential lead marketplacesSell homeowner service requests, priced per lead.Everyone we contact is a business. Commercial accounts do not appear on those marketplaces, and we sell no leads. You want residential service calls this week.
Homeowner lead sellersSell a homeowner's name and number, shared or exclusive. We never contact homeowners, and nothing is priced per lead. You pay a flat monthly fee for work done in your name.Your growth plan is residential replacement or repair.
General cold-email agenciesRun outbound email campaigns for many industries. One niche. Every account is researched individually with a cited reason, and the price follows the level of responsibility rather than the message count. You sell something other than commercial HVAC work.
PPC and paid-ads agenciesBuy search and social traffic from people who are already looking. We contact accounts that are not searching. We do not touch your ad accounts, and this runs alongside an ads agency rather than replacing one.You want inbound calls from people searching right now.
Directories and listing sitesList your company and wait to be found.Outbound rather than a listing: we go to the account with a reason to talk. You want to be findable when a buyer is already comparing contractors.
Call centersPlace outbound calls from a script.Email-led, with no cold calls on any plan. A call happens only after a contact has shown genuine interest.Your sales motion is phone-first and you want dials made for you.
Outsourced HVAC closersTake over the sales conversation, the quote or the close. We never estimate, quote, price or close. We prepare the opportunity; your team estimates and closes it.You have nobody who can quote and win commercial work — which is also a reason this service is not yet a fit.

What we do not claim

  • We have no clients, case studies, reviews or results to publish yet, and we publish none. The free pipeline audit is the sample: real work on your market, before any money changes hands.
  • We do not guarantee revenue, contracts, appointments, site visits, qualified opportunities, or any count of them, on any plan.
  • We claim no local expertise we do not have. The company is founder-run and based in New Jersey; the research for your engagement is done in your service area, from public sources you can open.

Where to go next

Common questions

What is commercial HVAC lead generation?

Commercial HVAC lead generation is the work of finding the businesses that buy commercial HVAC service — property managers, building owners, facility teams, multi-site operators — contacting the right person at each, and turning genuine interest into an opportunity a contractor's team can act on. It is different from residential lead generation in kind: the buyer is a business, the sale is an account rather than a single job, and nobody sells those accounts on a marketplace.

Is this commercial HVAC appointment setting?

Only in part, and only on one plan. Qualified Opportunity Engine coordinates the appropriate next step with an interested buyer — a call with your estimator, or a site visit where one is needed. Prospecting hands over at first interest, and Managed Pipeline hands over screened interest with a structured handoff. No plan promises a number of appointments or site visits.

Who do you contact on our behalf?

We contact businesses, and only businesses: property and facility managers, building owners, multi-site operators, and the people responsible for HVAC at offices, warehouses, schools, healthcare sites, restaurants and retail. Each contact is a named person chosen because they can take a vendor decision for the building or the portfolio, or route one. We never contact homeowners.

Do you cold call?

No, we make no cold calls on any plan; our cold outreach is email-led. A call becomes appropriate only after a contact has shown genuine interest, when a live conversation would add something an email cannot. On Qualified Opportunity Engine we can run an engaged call with an interested contact, under your written authorization.

Where do you work?

We work remotely with established HVAC contractors anywhere in the United States. The account research runs from public sources in whatever area you serve, and the outreach goes out from your own mailbox, so the service does not depend on where we are. The company itself is founder-run and based in New Jersey.
